How Jace works with Gmail

Jace connects to Gmail through Google sign-in and the Gmail API. It imports your mail and labels and keeps them in sync in real time, for personal @gmail.com accounts and Google Workspace accounts. You work in Jace in your browser at app.jace.ai. Everything it drafts or labels also shows up in Gmail, including the Gmail app on your phone.

Replies saved to your Gmail drafts

Click Draft with AI on a thread, or let Jace prepare drafts on its own for threads it labels Needs reply. It reads the earlier messages and attachments, uses your Gmail signature and send-as address, and saves the reply as a normal Gmail draft. Edits in Jace or Gmail stay in sync.

Labels that are real Gmail labels

Your existing Gmail labels are imported. Built-in labels like Needs reply, Waiting, FYI and To Do are applied by AI. Add your own AI label with a plain-language description, such as "invoices from suppliers", and Jace applies it to matching mail as a Gmail label.

Flows for emails you get again and again

In Workflows, describe which emails to watch for and what should happen next: draft a reply, create a Google Calendar event, search the web, or use a connected tool such as Notion, Slack or HubSpot. Flows create drafts for your review unless you change that.

Follow-ups on threads waiting for a reply

Threads where you're waiting on someone get the Waiting label. When a conversation goes quiet, Jace can prepare a polite follow-up draft for you to review.

Your Gmail filters keep working

Existing Gmail filters keep running in Gmail, and Jace shows their results after sync. Rules in Jace, written in plain English, shape how it drafts, for example which scheduling link to offer.

Answers from your email history

Ask Jace in chat what was agreed with a client or when an invoice arrived, and it searches your connected inbox. Plus imports 1 year of email history; Pro imports up to 3 years.

Setting up Jace with Gmail

  1. Sign up with Google

Create your account at app.jace.ai with Google. This first step only shares your name, email address and profile picture.
  2. Connect your inbox

Click Connect your work inbox. Google's consent screen asks for Gmail, Calendar and Contacts access, listed below. Leave every box ticked: if one is left unticked, Jace stops and asks you to connect again.
  3. Let the import run

Jace imports recent mail from your Primary tab first (the last 45 days), then the last 90 days and the last year. Pro continues to 3 years. You can work while it runs, and new mail arrives in real time through Gmail push notifications.
  4. Make it yours

In Settings, sync your Gmail signature, add a few rules, create AI labels or a Flow, and add more inboxes if you need them (2 on Plus, 8 on Pro, Gmail and Outlook mixed).

Google permissions Jace asks for

These are the scopes in Jace's code for a Gmail connection, with Google's own description where it publishes one. You can remove access at any time from your Google Account.
openid, userinfo.email, userinfo.profile
Sign you in and identify your Google account: name, email address and profile picture.
gmail.modify
Google describes it as "Read, compose, and send emails from your Gmail account". Jace uses it to sync threads and labels, apply labels, save drafts and send the replies you send from Jace. Google notes this scope can't permanently delete mail by bypassing the trash.
calendar
Google describes it as "See, edit, share, and permanently delete all the calendars you can access". Jace uses it to check your availability and create events when you or a Flow asks.
contacts.other.readonly
Read-only access to the "Other contacts" Google saves automatically, so people's names show up correctly.

Gmail limits worth knowing

  • Jace runs in the browser. There's no native iOS or Android app yet; on your phone, Jace's drafts and labels show up in the Gmail app.
  • History import depends on your plan: 1 year on Plus, up to 3 years on Pro. New mail always syncs in real time.
  • Applying or removing a label on a thread syncs almost instantly. A brand-new label created in Gmail can take up to a day to appear in Jace.
  • Gmail filters run in Gmail, not in Jace. Jace sees what they did after sync.
  • Bulk actions on thousands of threads during the first import slow syncing down. Work in batches of under 500 or run them overnight.
  • Google Workspace admins can block or limit third-party apps. If yours does, an admin has to allow Jace before you can connect.
  • Jace doesn't train AI models on your email and doesn't sell your data. Email is encrypted in transit and at rest.

A good fit if

  • You live in Gmail or Google Workspace and spend a big part of the day replying to threads that need earlier context.
  • You want a first draft waiting in Gmail for every email that needs a reply, and you'd rather review than write from scratch.
  • You run more than one inbox, for example a Workspace account plus a personal Gmail or an Outlook client account.

Probably not the right tool if

  • Your company doesn't allow third-party apps to access mailbox content.
  • A team needs to work one shared inbox with assignments and an audit trail. A shared-inbox tool fits that better.
  • You want everything to happen inside Gmail's own interface, with no separate app.

When to pick Gemini in Gmail instead

  • You already pay for an eligible Google Workspace or Google AI plan, and you mainly want summaries and help writing inside Gmail.
  • You want AI help on your phone inside the Gmail app. Jace has no mobile app yet.
  • Your IT team only allows Google's own tools to read company email.
  • You mostly write short replies and don't need AI labels, Flows or follow-up tracking.

Questions about Jace and Gmail

Still have a question in mind? Contact us

Yes. Jace connects to personal @gmail.com accounts and to Google Workspace accounts on your own domain. If your Workspace admin restricts third-party apps, they need to allow Jace first.

Basic sign-in (name, email address and profile picture), gmail.modify to sync mail and labels, save drafts and send what you send, calendar to check availability and create events, and contacts.other.readonly to show names. gmail.modify can't permanently delete mail by bypassing the trash.

Not by default. Jace saves replies as Gmail drafts for you to review, edit and send. Flows and labels create drafts too. Automatic sending is a separate opt-in setting, and if you never turn it on, nothing is sent without you.

Your labels are imported and stay in sync both ways, and Jace adds its own labels such as Needs reply and Waiting. Your Gmail filters keep running in Gmail as before; Jace just shows their results.

Gemini works inside Gmail, mostly when you ask it, for example to summarize a thread or write a draft. Jace works in its own app and can prepare drafts, apply AI labels and run Flows on new mail as it arrives, then syncs everything to Gmail. Gemini comes with eligible Google plans; Jace is a separate subscription.

There's no native Jace app for iOS or Android yet. Drafts and labels from Jace show up in the Gmail app, so you can review and send from your phone and pick up again on the web.

Plus is $25 per user per month, or $20 a month billed yearly, with 10,000 credits a month and up to 2 inboxes. Pro is $50 per user per month, or $40 a month billed yearly, with 20,000 credits a month and up to 8 inboxes. Both start with a 7-day free trial.
